Changing Barcode in Circulation Module 1

One of the most common tasks in cataloging is adding or replacing a barcode.

Every item in the libraries collections (except for those in Archives -refer to their policies for guidance)  require a barcode on the back of each item , near the top right.

  • If there already is a barcode inside the back cover (as was the habit for many years) ,keep that barcode where it is and add a new barcode on the back, top right corner.
  • The catalog record must also be edited to include this new barcode.   This guide will help you add the new barcode.

1. Go to circulation module.

2. Scan in existing barcode and click GO

 

 

Changing Barcode in Circulation Module 2

  • There can be more than one inactive barcodes. In the MARC record, each inactive barcode has its own subfield r in front of the number. All inactive barcodes must be retained in order to for the software to keep  a total count of all circulation checkouts for each book,
  • You may want to inventory the book with the new barcode.
    • Don't forget to add a protective clear label over the barcode itself and if possible add a piece of removal white opague tape over the barcode (Tech Services has) -otherwise leave the old/inactive one alone.
  • What if the older barcode that is/was inside the back cover is not visible (for example, someone removed it)  and the barcode on the back cover isn't in the system or there is no barcode on the back cover?
  • If possible, its best to give the book to a member of the TP staff. They will search stacks to see if the book in question has more than 1 copy and try to verify the older barcode number before assigning a new one.
