Printing - Introduction

1. Create a label print list

(Each user must set up their own label print list  - that is, they select the template to be used  from a dropdown list and add a name for the list. (Templates have label format and font settings. currently library only has 1 template.). Users can't see other's lists  Normally most staff members will only use 1 label print list . At the end of one print job, existing records on the list can be deleted,  in preparation for the next time new records are to be printed, etc.) H.M.

You can create up to 100 label prints lists. Your label print lists are only viewable by you and not by other users at your institution.

 Note: The default label template will appear selected in the Layout accordion. The drop-down list can be used to select a different label template for the list.

(To  set up your label print list settings either go to Record Manager>My Labels or  Acquisitions> My Labels ) - H.M.

  1. In the left navigation, click My Labels > Label Print Lists.
  2. Click New Label Print List.
  3. Enter a Label Print List Name.
  4. (Optional) Enter a Description for the label print list.
  5. Click Save. The label print list will be viewable from the Label Print Lists screen and as an option when you add a record to the label print list.

If this is your first time printing labels, follow the first 2 steps first:

 

1.Set up Template

(As you will learn in the help pages, the first time you print labels, you must set up a template..  See the box   to the left for information on settings for the labels currently being used- the Demco labels with sku ending in 430 (some boxes have no sku number but have a A-10 number on the back, lower right).. Labels are 7 columns across, 7 rows down, corners are rounded and are 1 /1/2" high and 1" wide)

2. Next, set up label print list

  • select a name for the list and also select from the dropdown  the template you will be using .

(You can add records to a label print list  in the several ways. This training page will focus on just one way - using Metadata>My Labels and scanning barcodes to add  call numbers to the label print list. See help page listed above for other ways to add items to a label list)

Print labels using My Labels

You can create spine labels from information in a MARC 21 WorldCat bibliographic record or a local holdings record. Your list of labels is only viewable by you and not by other users in your institution. See My Labels.

 

Download labels- usually they are in a pdf file.

Then print out master copy.

Use this copy to print using library label sheets on photocopier.

  • Experiment with different photocopier settings, but one that works most of the time :
    •  
  • use bypass tray and select Thick 1 setting.
    • Use paper feed orientation  Portrait and  insert paper print side down in the bypass tray, and set the bottom edge of the paper toward you.

 

Troubleshooting:  If labels are not printing correctly, try these steps:

 

1. template settings -be sure they are correct.

2. Add records to a label print list

Overview

(There are several ways to add a record to a label print list: -from the MARC 21 editor,

When working in the MARC 21 bibliographic record or local holdings record editors, or the Text view items detail screen, you can add individual records to a label print list. When working in the LHR search results, you can add up to 100 records to a label print list at a time.

Add a single record from the bibliographic record editor to a label print list

(Depending on your user preferences you set up in Record Manager> Working with Records, when you search for a bibliographic record in Record Manager>Bibliographic Records>My Library Holdings you may see the record in either MARC21 or in Text View. If you have selected Text view for the default view go to Record>Change My Display to MARC21 View. If the record is already displayed in MARC21 view, follow the steps listed below:

Go to Record Manager > and select both Bibliographic Records and My Library Holdings>enter search term(s)> Click the title or  the Edit button (far right of the screen) for the record you want (H.M.)

  1. From the MARC 21 editor, click Record. (see screenshot below)
  2. Select Label Print List... from the Send to flyout menu. The Send Record to Label Print List dialog window opens if you have more than one label print list.
  3. From the Send Record to Label Print List dialog window, select the Label Print List Name to which you want to send the record from the drop-down list.
  4. Click Send. You will receive a message indicating whether or not the record was sent to the label print list. If the system was unable to send the record, a reason will be given.

Add a single record from the LHR editor to a label print list

One way to go to LHR editor is:

Record Manager>select Local Holdings Record as data type and Barcode as Index>scan in barcode>Click on barcode link, then follow steps below: (H.M.)

  1. From the LHR editor, click Record.
  2. Select Send to Label Print List... from the Record drop-down menu. The Send Record to Label Print List dialog window opens if you have more than one label print list.
  3. From the Send Record to Label Print List dialog window, select the Label Print List Name to which you want to send the record from the drop-down list.
  4. Click Send. You will receive a message indicating whether or not the record was sent to the label print list. If the system was unable to send the record, a reason will be given.

Add a single record from the Text view Item Details screen to a label print list

Go to Record Manager >select both Bibliographic Records and My Library Holdings>enter search term(s)> Click Open Details for the record you want (H.M.)

From bibliographic search results:

  1. From the search results list, click Open Details for the title you want to add to a label print list.

  1. From the record Details screen, click Copies in the upper-right corner.
  2. From the Copies screen, click View/Edit. The Text view Item Details screen opens.

  1. From the Text View Item Details screen, click Send to Label Print List. The Send Record to Label Print List dialog window opens if you have more than one label print list.
  2. From the Send Record to Label Print List dialog window, select the Label Print List Name to which you want to send the record from the drop-down list.
  3. Click Send. You will receive a message indicating whether or not the record was sent to the label print list. If the system was unable to send the record, a reason will be given.

From the LHR editor:

One way to go to LHR editor is:

  1. From the LHR editor, click Record.
  2. Select Change Display to Text View from the Record drop-down menu. The LHR Text View screen opens.

  4. From the Text View Item Details screen, click Send to Label Print List. The Send Record to Label Print List dialog window opens if you have more than one label print list.
  5. From the Send Record to Label Print List dialog window, select the Label Print List Name to which you want to send the record from the drop-down list.
  6. Click Send. You will receive a message indicating whether or not the record was sent to the label print list. If the system was unable to send the record, a reason will be given.
